Project Planning FAQ

What is a project?
A project has distinctive attributes, which distinguish it from ongoing work or business operations. Projects are temporary in nature.  This characteristic is important because a large part of the project effort is dedicated to ensuring that the project is completed at the scheduled time. To do this, schedules are created showing when tasks should begin and end.
OIT has defined the criteria for projects to be
  • Requires 80 or more hours of work effort
  • The coordination of work effort across two or more administrative/academic departments
  • A high visibility and/or a major initiative

What is Project Management?

What Is Project Portfolio Management (PPM)?
Project Portfolio Management (PPM) is a management process designed to help an organization acquire and view information about all of its projects, then sort and prioritize each project according to certain criteria, such as strategic value, impact on resources, cost, and so on.

The Project Management Office (PMO) is the department or group that defines and maintains the standards of process, generally related to project management, within the organization. The PMO strives to standardize and introduce economies of repetition in the execution of projects. The PMO is the source of documentation, guidance and metricson the practice of project management and execution.

What is Project Intake?
The Project management office collects project information to request candidate solutions from our OIT resources.  Using this process, customers will be asked to describe their need, identify an executive sponsor, purpose and strategic alignment, funding source and objectives.  This process helps to organize and evaluate to form the basis for services planning and project delivery.
In 2010 the Office of Information Technology introduced standard project management processes.  Since then, we have increased the scope of our intake process to include more industry and PMI standard processes and tools.   We have made significant strides in the area of Project Intake to include project prioritization and project scheduling.  We now have a standardized approach for scheduling existing and new work into our current project portfolio.

What is a project sponsor?  What does a Project Sponsor do?
A Project Sponsor is a member of the Executive Team that provides financial resources and support for the successful completion of a project.  The Project Sponsor works with the Executive Cabinet to vet and prioritize projects on the Project Portfolio.

How do I request a project?
OIT will schedule three opportunities during the year for customers to submit proposals to the Projects & Planning Office.

Projects submitted for nomination must have prior approval of a Vice President or Assistant Vice President as well as identified a funding source for further consideration.
