Email and Calendars

Summary of Service:
All faculty and staff receive an account on the Georgia Perimeter College Exchange email system that provides integrated email and calendaring. GPC Email is made available to GPC faculty and staff solely for the purpose of facilitating effective business operations. By default, your email address is your First.Last followed by “@gpc.edu”. 
 
The recommended email client is Microsoft Outlook 2007 (Windows) or Entourage 2008 (Mac).The GPC/Exchange system stores your email and calendar on a centrally-maintained server.
 
The calendar in Outlook or Entourage allows you to schedule meetings with individuals across the campus. You may also use your hand-held device to synchronize your calendar.
 
You can also access all email, calendars and other information stored in your GPC account via Outlook Web Access (OWA).
 
Student Email & Calendaring
GPC has moved to Microsoft EduLive for student email.
 
Webmail is designed to look and act just like Microsoft Outlook. Since GPC Webmail interface is a Microsoft product, to get the proper functionality you'll need to use Microsoft Internet Explorer. GPC Webmail will work with other browsers such as Firefox and Safri. For students to log in, type in your full GPC email address (Example: username@student.gpc.edu) as the “Windows Live ID” and then enter in your password.
 
Bulk email
Sending out large numbers of email messages (bulk email) can interfere with the operation of GPC Email service for everyone and can get to GPC on blacklists that prevent other GPC Email from getting through.
 
Privacy
The GPC Email system is provided to support of GPC activities and is subject to state laws.
 
Do not send sensitive information by email. This includes personnel data, patient records, student information, and financial information.
 
Email messages can be kept and forwarded. The message you send to one person can easily spread to many more. Never assume that email is private, even when using encryption technologies.

Email as Public Record
Faculty and staff should be aware that mail messages are public records when they are created or received in the transaction of public business. As such, they must be retained as evidence of official policies, actions, decisions, or transactions in accordance with BOR and GPC records retention practices.
 
Email Management and Retention Best Practices
Each employee is responsible for handling and maintaining records, including email and electronic records, in accordance to the BOR and GPC policy and requirements.
